Introduction – Miguel Morales, NASA

Welcomed everyone to the meeting.
Discussed the purpose of scheduling the meeting six months in advance to ensure all voting members from each agency are available to attend the meeting.
In the future, if all voting members are not available to attend the meeting it will be rescheduled.
Presented overview of Charter.


Unified Facility Guide Specs (UFGS) Carl Kersten, NAVFAC

Background - Both agencies Naval Facilities Engineering Command (NAVFAC)/Army Corp of Engineers (CoE) databases contain 400 specifications.
Currently the UFGS database contains 803 specifications. Eighty-five of the 803 specifications are unified specifications that are shared by both NAVFAC and CoE who are responsible for maintaining the technical update.
NAVFAC has contracted a firm to combine and make comments on eighty-six specifications. Forty-three of the specifications are CoE and forty-three are NAVFAC specifications. Issues that have resulted from the review by the firm:
 
Not every agency agrees on Submittals
 
Not every agency requires the same unit of measure, Metric/English
 
Tailoring options
 
Regional Requirements
The process is currently running on schedule with about 4 years left.
The NASA agency expressed an interest in being part of UFGS.
ACTION: Carl Kersten will investigate the necessary steps required for NASA to participate in the UFGS. The information will be emailed to the meeting attendees.
ACTION: Carl Kersten will obtain a listing of all working groups. The information will be emailed to the meeting attendees.
ACTION: Tom Hinshaw will review with NASA Headquarters and all NASA Centers a plan for NASA to integrate to the UFGS.
Discussed different methods of getting users to read section notes in SI.
   

Unified Master Reference List (UMRL) Issues - Jamell Caswell/Pat Robinson, InDyne

Presented in trying to implement the UMRL into SpecsIntact (SI) software, the development team has noted a series of issues. The most critical issue is that the UMRL still does not contain clean data.
A lengthy discussion was held on the process of how the UMRL is updated by Mr. Quinn and how the information is given to the National Institute of Building Sciences (NIBS).
The board recognized that there were little checks and balances in place to ensure that data in the UMRL is of releasable quality.
The board decided that it would be a good idea for SI to provide a report that would compare the UMRL to the section master reference list.
The board agreed that more work cleaning up the UMRL is needed before software changes can be accepted.

Demo of SpecsIntact 3.1 - Jamell Caswell, InDyne

A detailed demo was presented to the board to review all the major enhancements to SpecsIntact 3.1.
The presentation was well received by the board members.

(3-Baltimore, 2-Pt. Hueneme, and 2 Ft Meade)

Many companies send an employee to training on a yearly basis.

SpecsIntact Accomplishments Patricia Robinson, InDyne

Reported four versions of the software were released since the last meeting.
Reviewed customer comments stating their impression of the software, customer service support, and the new SpecsIntact website to be released in January 2002.
Described in detail the new features incorporated in the software releases for the past six months.
Reported web site statistics -20,000 hits (Jan. 2000 - Sept. 2001) to the SpecsIntact home page.
Reported statistics of user calls by agency and associated firms.

Review Software Change Requests Jamell Caswell/Patricia Robinson, InDyne

Presented for Board's consideration twenty new Change Requests
The status of the changes requests presented:

PDF Publishing - Jamell Caswell, InDyne

A presentation and demo displaying how sections would be bookmarked in a document.
 
Discussed future direction of the bookmarking project and decided the following:
   
Create a separate tab on the print dialog called Publish/PDF
 
Allow the ability to create a separate file for the project table of contents
 
Only publish processed files
 
The Project table of contents should contain hyperlinks to other documents
 
Allow an option that would create one document or separate documents
 
The publish option can contain the section table of contents
 
Move the 'PDF Documents' section to the separate tab
 
ACTION: Proceed with the new submittal program. The original requirement for the register to be stored on one diskette is no longer a requirement.

Stand Alone Submittal Register (SASR) - Jamell Caswell, Indyne

A presentation and demo displaying the old and new Standalone Submittal Registry.
The board decided that the filename used by the old SASR (Navy4288.txt) should be called something else like UFGS4288.txt or Register.txt.
Discussed a facility to transmit the SASR via email. The board decided that the following should be transmitted:
Data only
Program and data
     
 
Pdf format
Requested each agency provide names of individuals to beta test the SASR.

Army - (Waiting for beta tester name)
ACTION: Steve Freitas contact Rick Dahnke and provide names to SpecsIntact personnel to distribute the SASR software for beta testing.

    1. New SI Editor
    2. PDF Publishing
    3. Standalone Submittal Registry
